You click Print and nothing happens. Or the printer shows "Offline." Or it prints blank pages. Printer problems are uniquely frustrating because there are so many things that can go wrong — drivers, connections, queues, ink, paper.
This guide covers every common printer problem and fix.
Quick Checks First
- Is the printer on? Check the power light
- Paper loaded? Open the tray and check
- Ink/toner? Check ink levels in printer software or the printer's display
- Cable connected? For USB printers, check both ends. Try a different USB port
- WiFi printer on the same network? Your computer and printer must be on the same WiFi
Problem: Printer Shows "Offline"
Windows
- Settings → Devices → Printers & scanners → click your printer → Open queue
- Printer menu (top) → uncheck "Use Printer Offline"
- Still offline? Right-click printer → Remove device → re-add it
Mac
- System Settings → Printers & Scanners
- Right-click your printer → Reset printing system (this removes all printers — you will re-add them)
- Re-add your printer
Problem: Print Jobs Stuck in Queue
A stuck job blocks everything behind it.
Windows
- Open Services (search in Start menu)
- Find Print Spooler → right-click → Stop
- Open File Explorer → go to
C:\Windows\System32\spool\PRINTERS - Delete everything in this folder
- Go back to Services → Start Print Spooler
- Try printing again
Mac
cancel -a
This cancels all print jobs. Or: System Settings → Printers & Scanners → Open Print Queue → delete stuck jobs.
Problem: Printer Not Found
USB Printer
- Try a different USB port (front vs back)
- Try a different USB cable
- Uninstall the printer driver → restart → plug in again → let Windows install the driver
- Download the latest driver from the manufacturer's website
WiFi Printer
- Print a network config page from the printer itself (usually hold a button for 5 seconds — check the manual). This shows the printer's IP address
- Make sure your computer and printer are on the same WiFi network (same SSID)
- Try adding the printer by IP address: Settings → Printers → Add printer → "The printer I want isn't listed" → Add using TCP/IP → enter the printer's IP
- Restart your router — sometimes WiFi printers lose their connection after a router reboot
Network Printer (Office)
- Check the printer's IP: print a config page or check the printer's display
- Ping the printer: open Command Prompt →
ping 192.168.1.X(printer's IP). If no reply, it is a network issue - Re-add by IP: Settings → Printers → Add printer → TCP/IP
Problem: Prints Blank Pages
- Run a nozzle check from the printer software or the printer's menu — this tests if ink is flowing
- Clean print heads — in the printer software or printer menu, run the head cleaning cycle (may need to run 2-3 times)
- Check ink levels — a cartridge might show ink but actually be empty or dried out
- Remove and reseat cartridges — take them out, check for protective tape (new cartridges have tape covering the nozzle), put them back
- Try a different paper tray — the feed might be picking from an empty tray
Problem: Paper Jam
- Turn off the printer before removing jammed paper
- Open all trays and covers — front, back, and any rear access panel
- Pull paper gently in the direction it normally travels — do not yank backwards, it can tear
- Check for small pieces — even a tiny piece of torn paper causes jams
- Check the rollers — dusty or worn rollers cause repeated jams. Clean with a slightly damp lint-free cloth
- Fan the paper before loading — this prevents multiple sheets feeding at once
Problem: Poor Print Quality

Reinstall Printer Driver (Nuclear Option)
If nothing else works:
Windows
- Settings → Devices → Printers & Scanners → click printer → Remove device
- Device Manager → Print queues → right-click → Uninstall
- Restart computer
- Go to the manufacturer's website (HP, Canon, Epson, Brother) and download the latest driver
- Install the driver → it should detect your printer
Mac
- System Settings → Printers & Scanners → right-click printer → Remove
- Reset printing system: right-click in the printer list area → Reset printing system
- Re-add the printer
